Knitting, crochet, spinning and a community that loves to learn. Each August, Flock Fiber Festival brings fiber artists, instructors and enthusiasts together in Seattle. Alongside classes, its marketplace hosts more than 100 vendors from across the country and around the world.
With more than 80 classes to manage, the team needs bookings to work for everyone: organizers coordinating rosters, instructors preparing sessions and attendees finding a place in the class they want. Taylor Huber, Event Organizer at Flock, shared how Ticket Spot supports that work.
Selling a class was only the beginning
Before Ticket Spot, Flock created class product listings in Shopify. Taking a booking was one part of the job; maintaining rosters and waitlists meant more manual work behind the scenes.
“We created product listings within Shopify, however that meant a lot of manual management of rosters, waitlists, etc., leaving a lot of room for user error that had huge implications on our user experience.”

Keep the booking where the customer already is
Moving sales away from Shopify wasn’t the answer. Flock’s website and sales were already there, and keeping them together mattered for both accounting and the attendee experience.
“We want attendees to be able to purchase class and event tickets directly through our website without being redirected elsewhere.”
Ticket Spot lets Flock keep that Shopify buying experience while bringing the work around ticket and class management into one place.

Less back-and-forth for the team
Taylor describes a more streamlined process for ticket and class sales. The team can manage the associated work in Ticket Spot without continually switching between Shopify and Ticket Spot.
Attendee reminders and notifications are another part of that workflow. They help Flock keep communication clear in the lead-up to the festival.
“The ability to send reminders/notifications to attendees has been incredibly helpful as well to make sure there is clear communication leading up to the event.”

A cancelled place can become someone else’s opportunity
For a class organizer, a cancellation creates another job: finding someone who wants the available place. Flock uses Ticket Spot’s waitlist to keep track of that interest and see who is next in line.
“When someone is unable to attend, the waitlist capability gives us an easy way to offer that spot to someone else who is eager to participate.”

Having class sales and waitlists in the same place gives the team a clearer view of each class. Taylor describes the benefit for both sides: organizers can offer available places, and interested attendees have another chance to take part.

Class interest can inform what comes next
The waitlist also gives Flock a view of demand beyond completed bookings. Taylor sees that information as valuable for planning future class schedules and understanding which subjects generated the most interest.
For Flock, the story is about making class booking and management easier while keeping the experience familiar for Shopify customers—from the first purchase to the next available place.
